Boosting product enablement and awareness using Loom
Why Atlassian Admins Should Use Loom to Educate Users
After many years working as dedicated Atlassian admin, you become so much more than just someone who creates and configures projects. A good admin knows their way round the product like its nothing. A truly great admin is someone who can inspire and enable teams to get the most from the products. Someone who can translate business strategy and configure their tool(s) for the future.
Now I loved my time as a dedicated resource. Getting stuck into the nitty grittiness of a project to understand true needs and true functionality. But as any admin would know, you spend just as much time helping trying to enable any user with simple “where do i find X butt"on?” or “I don’t know how to work with X functionality” as you do building anything. So what if we could change the way we act as a communication catalyst for your business?
When new functionality drops, or you just want to have resources to help smooth out the training journey, we should be turning to Loom.
Visual Clarity Beats Written Confusion
When working with complex topics like Jira automation, Understanding affects on widespread configuration, rolling out OKRs or managing global permissions can often be too difficult to convey effectively through text alone. While I am not saying we skip out on having written documentation, I am saying we should accompany the documentation with a visual clip that can help convey the means through different forms.
For example, “update web-hook in global context,” lacks the clarity and depth needed to fully understand the process. In contrast, a visual video walkthrough, like a Loom video demonstrating the configuration, provides a step-by-step view of the clicks, the surrounding context, and potential pitfalls to watch out for. The accompanying narration helps explain why these steps are important to different stakeholders such as Product Owners, QA teams, and Developers, adding valuable insight that text cannot easily deliver. This kind of context-rich guidance reduces common questions like “where do I click?” and minimises the need for follow-up support.
As a result, The upfront cost and time in creating, even a semi polished Loom video can reduce noise and incoming help requests, enable your customers faster and ultimately lead to happier more confident users.
Self‑Service Scale: Record Once, Reuse Forever
We have heard time and time again around how self service resources leads to so many efficiency gains and reduced noise. We typically think about shifting left on ITSM/ESM topics and trying to stop so many tickets coming through to your desk. But why would it not apply here? Short answer is OF COURSE IT DOES!!!
There’s no need to repeat the same walkthrough 50 times. Instead, embed your Loom videos directly into Confluence spaces, Jira dashboards, or anywhere your team are working day in day out. This way, teams can learn at their own pace. They can constantly search for information using the combined Atlassian search. They can pause, rewind, and revisit the content whenever they need to, even if they’re working across different time zones. You save valuable time by cutting down on repetitive training sessions and can focus more on in-depth administrative tasks. It’s a clear win-win situation: fewer meetings and more empowered, confident users.
Global Teams, Zero Scheduling Headaches
Organisations that span the globe have always struggled when trying to sync diaries and find an opportunitiy to learn from one another. Async meetings, training and general work with loom can provide opportunities to make:
Train on demand
Back to the self serve model above. Allow your teams to learn in a time that suits them and not out of hours
Use AI-powered transcripts for multilingual clarity
Languages and translation barriers can often create opportunities for error. It is only natural. Having AI translations means we can mitigate these affects and keep everyone working productively
Enable learners to pause, annotate, and ask questions inline
There is nothing more important than stopping and reflecting. Pausing that video, thinking about the question and how it relates, providing feedback and moving on. But now everyone can do this in their own time.
No more “What did he say?” or “Let’s hop on a late‑night Zoom.”
Smarter Feedback Loops & Troubleshooting
Users don’t just watch, they actively engage and react. With in-video comments, you can instantly identify stumbling points where users are confused (“I’m lost here!”). This allows you to quickly iterate your enablement material on a section by section basis, preventing rollout blunders and reducing the overal maintenance time for resources. Plus, you gain valuable visibility into problem areas without needing to be physically present in the same room.
Loom comments can also allow users to clarify the configuration steps and have meaninful discussions at targeting points helping reduce context switching. This is amazing helpful when it comes to new project ideas and updates.
Governance You Can Track
If you are lucky enough to think of using Loom enterprise, you also unlock the ability to look into usage analtics. Understanding real time engagement statistics can shortfen feedback loops and provide business with quicker ROI, or even use the ‘Nudge’ functionality to remind users to watch the latest video.
You also unlock better permissions and privacy controls making sure no one can make information public, until your business is ready.Using Loom for Enterprise gives admins these perks:
Embedded Experience in Jira & Confluence
Atlassian have always done a great job at tightly integrating their applications. Loom is no different!
If you already have documentation you can record directly from your Jira work items or Confluence pages at the click of a button, helping smooth out the actual creation process. But should you be starting from nothing. Once you have made your loom video, you can automatically have the AtlassianIntelligence summarise and create all the documentation that can support your loom videos.
This seamless experiences removes context switching and improves the overal user experience when having to create enablement material.
The combined Atlassian search means that as you ask your Atlassian ecosystem how to do something, Loom videos or sections of Loom videos will be returned in the results for your users to easily review and get their answer. This combined further with the AI powered summaries, titles and chapters means your users can provide the value faster.
Repurpose Content Beyond Training
Loom is versatile so why would you limit it to just enablement material. This topic is just something I would have loved as a dedicated resource and am now getting more and more use as with my partners in my new role. Whether it is product enablement or another topic Loom can help spread awareness easily. So what could other topics be?
